Responsibilities - your mission
- The jobholder will report and assist the Airbus GBS Management Team in all the strategic missions, and will also act for the benefit of the Airbus GBS Management
- The jobholder will be responsible to (but not limited to):
- Coordinate day-to-day facilities activities, maintaining good relationships with the building manager, other tenants, and office suppliers
- Organize events, meetings, etc
- Managing calendar tasks and schedules
- Make travel arrangements;
- Handle confidential documents ensuring they remain secure;
- Order office supplies and monitor office inventories to ensure sufficient stock
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Undertake support tasks on behalf of the management team, such as encrypting documents, scanning and saving documents, photocopying and organising files
- Meeting room management: Arranging refreshments, equipment requirements and any additional support/ resources for business meetings
Based in Airbus GBS Lisbon, the jobholder will actively contribute to the success of the new entity in order to make it a real differentiator for Airbus Group efficiency.
- Relevant Degree or Equivalent Experience
- Proven experience as office admin or similar administrative role;
- In depth knowledge of office management and basic accounting procedures;
- Familiarity with basic research methods and reporting techniques
- Fluent english (mandatory)
- High confidentiality standards as the jobholder will be involved in strategic discussions and decisions of the company
- Strong organisational skills
- Working knowledge with Google Suite or comfortable with any Office suites
- Strong ability for interpersonal relations (empathy, diplomacy)
