Personal Assistant and Financial Administrative

Main duties:


  • Administrative support to the financial aspects (compilation of financial and accounting information; invoicing; collections)
  • Providing administrative assistance to the management performing a variety of administrative tasks.
  • Maintaining management agenda's and assist in planning appointments, travels, and meetings.
  • Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
  • Handle confidential documents and information ensuring they remain secure.
  • Receive and screen phone calls and redirect them when appropriate; handle and prioritize all outgoing or incoming correspondence.
  • Ensuring information is organized and easily accessible.
  • Conduct research and prepare presentations, reports, minutes of meetings, memos, letters, and other documents.

Success Profile:


Hard skills:


  • Bachelor's degree in management or related field (mandatory).
  • Proven experience as a personal assistant or in similar administrative roles, preferably in a financial or lawyers' environment.
  • Solid knowledge of productivity software, such as Microsoft Office (Word, Excel, PowerPoint), and time management tools.
  • Experience in preparing basic financial reports and familiarity with financial terminology.

Soft Skills:


  • Fluency in Portuguese and English (mandatory).
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • Strong aptitude for working with numbers and meticulous attention to detail.
  • Proactive attitude and solutionoriented mindset.
