Personal Assistant and Financial Administrative
Main duties:
- Administrative support to the financial aspects (compilation of financial and accounting information; invoicing; collections)
- Providing administrative assistance to the management performing a variety of administrative tasks.
- Maintaining management agenda's and assist in planning appointments, travels, and meetings.
- Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
- Handle confidential documents and information ensuring they remain secure.
- Receive and screen phone calls and redirect them when appropriate; handle and prioritize all outgoing or incoming correspondence.
- Ensuring information is organized and easily accessible.
- Conduct research and prepare presentations, reports, minutes of meetings, memos, letters, and other documents.
Success Profile:
Hard skills:
- Bachelor's degree in management or related field (mandatory).
- Proven experience as a personal assistant or in similar administrative roles, preferably in a financial or lawyers' environment.
- Solid knowledge of productivity software, such as Microsoft Office (Word, Excel, PowerPoint), and time management tools.
- Experience in preparing basic financial reports and familiarity with financial terminology.
Soft Skills:
- Fluency in Portuguese and English (mandatory).
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Strong organizational skills and ability to manage multiple tasks and deadlines.
- Strong aptitude for working with numbers and meticulous attention to detail.
