Overview

The Procurement & Logistics Unit (P&L) is in charge of managing all INL activities related to the purchasing of goods, services and scientific equipment ensuring that INL has all the necessary resources to proper conduct its activity.

Its also the unit responsible for ensuring that all purchasing procedures comply with internal and external rules and regulations.

Job Duties

The job duties will be the following:

Purchasing:
Process internal purchase requests for products and services of pre-approved orders.
Track orders and ensure timely delivery.
Maintain INL supplier database.
Manage supplier invoice workflow.
Update and track pending purchase orders and pending order related documentation.

Contract management:
Assist in the creation of standard contracts.
Assist in maintaining and updating the contract database.
Liaise with internal units to assist in contract management activities.

Tendering activities:
General support to INL tendering procedures from tender publication to contract drafting.

Other tasks:

Occasionally, it will be required to support the logistics function (reception and shipping of goods and customs clearance procedures).Participation in specific improvement projects within the Procurement & Logistics Unit may be requested.

Mandatory Qualifications

Education
BSc degree in Business Administration, Management, Logistics or other related field.
Experience and Technical Skills

Previous experience in purchasing activities. Full proficiency in Microsoft tools, namely MS Office suite.
Experience using digital platforms and digital tools in general.
Other Qualifications & Experience

Experience and knowledge in EU procurement legislation and directive will be highly valued.
Experience in drafting standard contract and purchasing agreements will be highly valued.
User experience in Primavera, namely, Purchase and Stock Management modules, will be highly valued.
Experience in digital tendering platform InTend, will be highly valued.
Specific training in purchasing will be highly valued.
MSc or Post graduation in a relevant field will be highly valued.
