Main Responsibilities
- Control of pending and outstanding amounts, collections and registry of receipts;
- Manage expenses and invoices, including validation of invoices and production of costs reporting and preparatory work for the accounting;
- Request for quotes and comparative analysis;
- Manage Senior Executives' travel logistics and activities, including accommodations, transportation and meals;
- Maintain the space 100% operational, ensuring the functionality of all services and spaces, report and request maintenance interventions;
- Digital and physical documentation archive;
- First point of contact for customers, visitors and colleagues on the office;
- Document management of processes related to internships and IEFP programs ;
- Manage several processes that are key to our employees having a seamless experience, including onboarding and offboarding, benefits, data & analytics, event planning, and policies for our employees;
- Manage internal training processes.
Key Requirements
- Relevant experience in the functions described;
- Fluency in English (at least B
- Independent user, with Spanish being a plus;
- Independent Excel/Numbers user;
- Excellent communication skills, with active listening and clear communication;
- Positive mindset and flexibility to work in a dynamic environment with short deadlines;
- Ability to collaborate with others, with a strong team spirit;
- Strong organisational skills, with proactivity and ability to multitasking;
- Valued Training Area: Business Administration, Business Communication, HR, Accountant, Management, Management Assistance.
