Job description/specification
We are looking for a Sales Support Admin to be part of our team. You will be part of the Sales & Marketing team.

This position is based in the city of Maia in Portugal.


Responsibilities:


  • Orders management
  • Provide support for the processing of orders to ensure operational efficiency;
  • Execute the approval process for timely and accurate fulfilment of orders;
  • Facilitate the management of changes to orders to meet customer requirements;
  • Provide training on the CRM tool (Pipedrive) for effective management of orders;


  • Invoicing management

  • Provide support for invoicing to maintain financial accuracy;
  • Create proforma invoices to secure transactions and ensure accuracy;
  • Facilitate the management of changes to invoices to maintain financial accuracy;
  • Manage credit notes to ensure financial stability and accuracy;
  • Nonius customer database management
  • Maintain customer records using the Nonius customer database management system;
  • Manage customer profiles, including group, brand, site details, maps, and segmentation;


  • Contracts management

  • Manage contracts and ensure administrative renewals are completed in a timely manner;
  • Update contractual prices annually to ensure smooth business operations.

Must Have:


  • Bachelor's degree in Sales, Management, or a related field;
  • Proficient in utilizing productivity tools such as Google Workspace or Microsoft Office;
  • The ability to meet deadlines;
  • Strong organizational skills;
  • Strong attention to detail with a focus on accuracy;
  • Exceptional customer service skills;
  • Fluency in the English language.

Nice to have:


  • Previous experience in the hospitality industry and/or technology companies;
  • Prior experience as a Sales Administrator or in a similar role within a sales department;
  • Fluency in the French language is a plus
  • Eligible for IEFP internship
